Office Administrator (with CEO support) - Emerging Life Sciences Company

Our client, an RTP area provider of custom training solutions for the pharmaceutical, medical device, biotech, and other related industries, is actively recruiting for a top notch administrator for a key role on its team. Client is open to both Direct Hire and Temp-to-Hire candidates.
The company, started by pharma industry veterans, is experiencing exponential growth. It is a highly dynamic, fast-paced and entrepreneurial setting and the administrative challenges are broad and important. Right candidate will be skilled and versatile. It is a hybrid role that involves both Executive/Administrative Assistant and Office Management tasks. Seek extremely capable candidate who brings the resourcefulness, flexibility, quality-orientation, organizational skill, job ownership, business judgment and “get it done” work style needed to thrive. Some experience in a start-up, emerging setting would be valuable and prioritized.
Responsibilities will be broad and include:
Executive Assistance – This OA will report to the CEO and provide broad-based support including calendaring, travel arrangements, expense reporting, etc. Role will also involve supporting other executives and/or team members. We seek a flexible team player.
Office Management – This OA will be the go-to person for a variety of office support functions including meeting planning, equipment upkeep, document production, database management, supplies, etc.
Executive Scheduling – This OA will be critically involved in keeping the CEO on schedule. He is regularly pulled in multiple directions, on a very tight timeframe. Seek proactive time manager, who anticipates potential appointment conflicts and assists CEO in navigating them.
Communications – This OA will be a key liaison between the CEO and internal staff, consultants, clients, etc. Poise, discretion and professionalism will be important.
Targeted candidate will offer a related degree and 4+ years in broad-based office roles, ideally within life science and/or emerging business settings.
Superb organizational skills and impeccable attention to detail are expected and essential. As important, we seek a real go-getter – one who will “own the administrative functions” so that her/his colleagues/supervisors can focus on their specialties. Success in previous similar point-person positions will be critical.
